Paperless Applicant Tracking
The hiring process can be time consuming, confusing, and stressful. If you are hiring more than one person, the paperwork alone can be overwhelming. Stacks of cover letters and resumes have been all but eliminated with emails, but how do you keep track of the emails? A busy hiring manager can receive over one hundred emails a day. Then you start getting the follow up phone calls. You’re fishing through your emails trying to read everything about the applicant you are speaking with on the phone. As the hiring manager, you want to get the most out of your phone interviews, but it is almost impossible if you’re not prepared for the phone call and do not have all your information in one location. Kosmas makes applicant tracking painless.
I was hiring for DocuWrx and we were looking to hire 6 employees total, for three positions. In less then one day, after the job postings, I was flooded with cover letters and resumes via email. The Applicants module in Kosmas allowed me to create an applicant entry, storing all of their personal data to include contact information, position applied for, and any special attributes. Applicants can also be ranked using customizable criteria. More importantly, Kosmas has a feature called email capture which allowed me to capture the applicants email and all attachments linking them to their applicant record simply by emailing directly into the system. In less than 10 minutes I had all the information about all the applicants stored in one location.
Remember those unexpected follow up calls I was talking about earlier? Within seconds, I could search the caller by name or position applied for and I immediately had all their personal information, emails, resumes, cover letters, etc. I was able to spend more time talking with the applicant than searching for their documents. After my conversation I made notes in the notes section of Kosmas and related the notes to the individuals file. If I wanted to schedule a follow up interview with the applicant, I did so using the calendar feature in Kosmas. I was also able to schedule events and ask a particular department manager to join me during the interview. I was able to relate all necessary documents to the event for that department manager to review in preparation for the interview.
Kosmas has taken what used to be stacks of papers with post it notes on them and placed everything digitally in one quick to search location. It was so refreshing to not have to scan, print, or email the same document over and over again for the purpose of storing or sharing. When your applicant information is in Kosmas, it stays there and you are able to allow only those who need to review it.
